Events & Reservation Administrator
Description✓Event and Reservations Administrator
✓We are looking for a good multi-tasker with an exceptional eye for detail and is good at juggling several different roles, whilst remaining calm under pressure
✓On a daily basis, you'll be looking after our transient accommodation accounts
✓You will source and book hotel accommodation in line with the client's travel policy, creating accurate confirmations and maintaining a high level of customer service and good response time
✓In addition, you will support the business with a range of event administration
✓This may involve:
✓* Processing delegate registrations, assisting guests with their payments and queries
✓* Visits, helping to create our virtual event platforms, and assisting with finding venues for small meetings
✓No two days will be the same and your role will vary according to business demand.
✓Key roles and responsibilities:
✓* Group/event accommodation
✓* Delegate registration/booking delegates onto events and taking payments
✓* Venue finding
✓* Event admin for physical and virtual events
✓* Overseeing our transient accommodation accounts
✓* Maintaining an awareness of response times, travel policies and billing instructions for each account
✓* Processing accommodation bookings using a range of on and offline tools to a high standard of accuracy
✓* Preparation of accurate rooming lists
✓* Assisting with group and event accommodation when required
✓* Building registration pages for events
✓* Creating event invitations and joining instructions where required
✓* Processing payments and reconciling event accounts
✓* Sourcing venues for smaller events and meetings
✓* Uploading data in virtual event platforms
✓* Providing administration support to the wider team
✓* Uploading data into virtual event platforms
✓* Working with suppliers to provide the best service and value to our clients
✓* Supporting your colleagues in other areas of the business when required
✓This is an exciting time as we grow our team and expand our services.
✓The role would suit someone with a lot of initiative, who can make this role their own, and is looking to progress within the business.
✓We would potentially consider a shorter day to fit in with school times [for example], but you would need to be office-based 5 days a week
✓Full-time would be our preference.
✓You should have previous Reservations or Admin experience, ideally gained through working in a venue, hotel or booking agency.
✓This is a full-time position, based within our Chippenham office working 9am - 5.30pm
