Description✓Job: Post Room & Facilities Manager
✓Summary: To ensure the effective and smooth running of the Post Room including any associated administrative responsibilities
✓Manage the site facilities to ensure Health & Safety standards are implemented and maintained.
✓Main Activities:
✓Post Room

✓Responsible for ensuring the efficient handling and distribution of incoming post and deliveries and all outgoing post is ready for despatch in a timely manner, ensuring all Post Room equipment ie
✓franking & sorting machines, etc
✓are maintained as per the service agreements

✓Develop, improve and manage the centralised scanning system, including documents, application forms, and dividends, corporate actions etc are scanned and stored accurately
✓Work with all staff to ensure scanning procedures are adhered to and continue to develop the efficiency of the scanning process

✓Ensure confidential correspondence is stored, shredded and disposed of appropriately to ensure compliance with GDPR and regulatory requirements

✓To be responsible for ensuring stationery levels are maintained, ordering stock from suppliers and distributing supplies to staff as required

✓Plan, prioritise and monitor the workload of the Post Room & Facilities Assistant to help ensure the Post Room processes and procedures are achieved

✓Ensure the economic, effective and consistent operation of heating/air conditioning and lighting throughout the office, adjusting the controls to a standard setting where needed

✓Manage a list of maintenance work that is required in the building and surrounding grounds and either undertake the work personally, where the tasks are straight forward or arrange contractors to attend and then oversee the work carried out
✓10
✓Manage the staff car park, issuing permanent and temporary spaces to those on the waiting list when a space becomes available
✓Ensure the car park is tidy and appropriately maintained in all weather conditions

✓Control and distribute the lock fobs for the front gate and back door to staff, as appropriate

✓Ensure the building is well maintained and manage relationships with external contractors ensuring service agreement are up to date and servicing and maintenance is carried out on a timely basis Show more →
