HR Assistant
Description✓Full-Time HR Assistant Wanted - Temporary - 3 months
✓Hourly rate: £12.00
✓Location: Bristol [Hybrid Available]
✓Working times: Monday - Friday Core hours are 9am and 3pm, otherwise flexible
✓Hours: 37.5 hours
✓Starting: 6th June and is on-going with strong potential of perm.

✓24/7 Counselling Responsibilities:
✓Our client is looking for a professional HR Assistant to support them for a 3-month period to support all aspects of recruitment, onboarding, payroll, and HR administration, and deliver consistently high standards of efficiency and compliance, and contribute to the development of HR delivery across the Trust.
✓Duties:
✓Recruitment
✓Administer recruitment requests and maintain central recruitment logs
✓Support with the preparation of job descriptions, person specifications and adverts [internal and external] to reflect best practice where required
✓Place adverts and monitor response rates.
✓Work creatively with Recruitment Leads to consider alternative advertising streams for posts that are hard to fill.
✓Maintain a bank of existing template job descriptions and ensure consistent and accurate formatting.
✓Liaise with recruitment agencies
✓Circulate applications to recruitment panels
✓Organise and co-ordinate interviews
✓Prepare offer of employment letters
✓Oversee the onboarding process
✓Schedule probation meetings and management of process
✓Safeguarding and Safer Recruitment
✓Maintain Single Central Records.
✓Carry out pre-employment checks, including DBS checks and references
✓Ensuring compliance with legal requirements and Trust policy and procedure.
✓Maintain safeguarding training records
✓Assist with the organisation of safeguarding training, as required
✓Support with staff file and Single Central Record audits, where required
✓Payroll
✓Process new appointments, resignations, and changes to terms of employment, in a timely manner
✓Provide an initial response to staff, in relation to queries about payroll, contracts etc., and refer to the Trust's external Payroll provider, as appropriate
✓Record all staff absence, and obtain half and nil pay dates for staff from the Trust's Payroll provider
✓Data Collection and Reporting
✓Collect and collate a data relating to staffing, for example sickness absence, fixed term contracts
✓Create accurate reports in a timely manner, relating to staffing
✓HR Administration
✓Act as an initial point of contact for guidance.
✓Share documents, updates, and advisory information to academies.
✓Escalate HR queries to the HR Business Partner, the Trust's external HR provider, or the Head of Peoples' Services, as appropriate, in a timely manner.
✓Maintain accurate staff records, ensuring that necessary information is recorded and meets compliance, and that the Trust's external HR provider has accurate information.
✓Maintain performance appraisal records and implementation of progression as required
✓Support the review of systems and processes, including the creation of online forms, flow charts and process mapping
✓Review and update Trust-wide forms and processes, in accordance with the Scheme of Delegation and external developments
✓Format and edit documents [including MS Word, PowerPoint and Excel] to an exemplary standard.
✓Distribution of Trust policies and procedures as required
✓Act as note taker at HR related meetings, as required
✓Maintain casework logs and co-ordinate prompt information flow and resolution
✓External stakeholders
✓Manage general communication and contact details with external stakeholders, including Trade Unions.
✓Liaise with the Trust's HR provider to ensure customers have the necessary HR advisory support
✓Required:
✓Enhanced DBS clearance [can be arranged]
✓Experience of working in a busy administrative role
✓Experience of working with documents and records requiring a high level of accuracy
✓Understanding of the importance of confidentiality
✓Strong IT & systems knowledge, including MS Word, Excel, MS PowerPoint, 365
✓A knowledge and commitment to safeguarding and promoting the welfare of children, and/or vulnerable adults
✓Good numeracy/literacy skills [e.g
✓minimum of grade C [4 and above] at GCSE [or equivalent] in both English and maths.
✓Able to travel to/work in different settings across the Trust
✓Able to establish professional, effective working relationships with a range of people
✓Excellent communication skills, verbal and written
