Administrator
Description✓An exciting opportunity for an Administrator to join an established and secure business within financial services has just been created
✓You will proactively assist the CEO with administrative support whilst being the first point of contact for any clients calling or emailing in so having a helpful and professional manner is essential
✓What you will do:
✓* first point of contact for clients and build strong and trusting client relationships.
✓* Answer incoming calls in a courteous manner and ensure messages are dealt with efficiently.
✓* Ensure all client review meetings are booked, added to the diary, recorded in Salesforce and confirmed in writing [letter/email] with the client
✓* Monitor upcoming and overdue review lists in Salesforce.
✓* Accurately record, update, and maintain Salesforce including client personal details, meeting details, client source etc.
✓* Prepare files in advance of client meetings, ensuring the 'Prep checklist' is followed
✓* Post suitability letters to the clients, within agreed timescales and ensure they are saved in the client file
✓* Submitting necessary paper work
✓* Update databases and spreadsheets to track the progress of business submissions and chase/provide outstanding documentation or information until the business issues.
✓* Maintain an efficient, compliant, filing system and adhere to a clear desk policy.
✓* Work efficiently to manage and co-ordinate workload
✓* Liaise with other departments where necessary
✓* Attend regular meetings
✓* All other administration duties
✓What you will need:
✓* Confident in building and maintaining working relationships.
✓* Excellent communication skills written and verbal communication
✓* Excellent computer skills
✓* Knowledge of using a CRM system
✓* Highly organised and multi tasking skills
