They are currently looking for an Administrator to join them for a contract running to the end of 2023
However, there is likelihood for extension.
Overview of the Role:
This role is responsible for providing an efficient administrative support service to team/manager in daily activities and ensuring office activities are in line with Company and departmental objectives/agreed timings
In this role Colleagues should work closely with other administrators in the
department, and /or director's secretaries, team members, and first line managers [apply as appropriate]
Regular reports should be made to manager[s].
Main Responsibilities:
General Administrative Duties
Read, route, prioritise incoming mail/telephone calls and handle incoming correspondence
Assist visitors to department including arranging transport and hospitality
Handle/delegate routine matters [verbal and written] independently
Ordering and managing stationary requirements for the department
Office equipment maintenance, bookings and re-ordering
Establish and maintain an accurate, comprehensive and accessible filing system
Ensure confidentiality of personnel matters, corporate or project matters
Act as receptionist e
meet and greet visitors
Flexibility for any departmental administrative cover purposes as required
Supporting and contributing to departmental continuous improvement activities
Documentation and Distribution
Draft letters/memos/documents for signature, ensuring timely distribution
Ensure processing, issuing and timely availability of documentation needed for meetings
Preparation of documentation/information as required
Establishing, maintaining and updating departmental trackers/planners
Distribution of mail
Diary Management & Travel Arrangements
Diary management of manager [s] and /or team, arrange and coordinate meetings
Meeting room bookings and diary management
Assist in daily function and efficient running of department/office
Arrange national/international travel as required
Liaison with Company travel providers
Processing of travel expenses/expense claims and purchase orders
Skills & Experience:
Demonstrable administrative experience, ability to work independently and proactively
Demonstrable experience of communicating effectively at all levels
Self- motivated and flexible with good attention to detail
Working knowledge of SAP desirable
Behaviours in line with People Framework
Qualifications:
GCSE or equivalent in English Literature/Language and Mathematics
Competent at intermediate level or above in Microsoft Office Outlook, Word, Excel, Powerpoint
German language knowledge/qualification desirable
Location:
This is a hybrid working role, with a requirement to work from the clients Crewe office at least 3 days per week.
Working hours:
Standard working hours with some flex where required.
