This role is an exciting opportunity to gain a blend of Front of House, Venue and events experience
You will be meeting and greeting staff and visitors, booking rooms, and answering inbound calls and emails
An incredible opportunity to build you administration skills
Throughout each week there will be various events with the requirement to support the set up and delivery of the conference and meeting room services.
You will work collaboratively with the rest of the Facilities and FOH team, alongside the Events and Venue hire teams on day-to-day duties
We are looking for an individual who is friendly and dedicated to ensuring our venue is one that visitors will want to return to.
DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:
Answer inbound enquiries including emails and the main switchboard
Meet and greet all staff and visitors in a professional and welcoming manner.
Support all events as required including, meet and greet and areas.
Input internal and external room bookings into the booking management system following protocols and procedures
Ensure the system and other related administrative data is always kept up to date.
Brief clients on the day, providing Health & Safety information, demonstrating equipment, and being on hand to answer any queries that come up throughout the day.
Prepare, distribute and clear catering and beverages as required throughout the day in members area and meeting rooms.
Restocking items in the servery, members area and open spaces.
To support the Sales and Venue Coordinator with ad hoc duties including management of the venue inbox and distribution of post-meeting feedback surveys to clients.
To support the Events team with ad hoc duties such as preparation of name badges etc
SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:
Excellent interpersonal skills with the ability to understand the needs of the client and provide superior customer service in a professional and corporate setting.
Excellent written and oral communication skills with an excellent telephone manner and the ability to present and explain information clearly and succinctly.
Excellent organisational skills, able to work independently with minimal supervision and with a methodical approach to managing multi-event workload, with the ability to work calmly under pressure to meet deadlines.
Attention to detail, accuracy, and ability to check detailed information.
A team player; able to work collaboratively with colleagues and other departments.
Appetite to learn, deliver and build on knowledge and current experience.
Flexible, adaptable and resourceful
