Main purpose of the job
As an organisation LHC Procurement Group is growing and developing the offer we present to the market
The centralised technical procurement office [TPO] support this by developing framework solutions that appeal to a wide range of public sector bodies but also suppliers and contractors.
The TPO deliver improvements in the way LHC plan, structure, and conduct procurement activities, but also improvements in the use of procurement systems and technology to support the wider organisation and improve bidder experience.
The Team Administrator will sit within this centralised team and support us in all day to day and specific project activities
The ideal candidate will have had experience working in a varied administrative role supporting day to day activities for their team and is used to balancing varied workload and priorities
Previous experience of procurement is useful but not essential to this role, as this can be learned on the job with support from colleagues and external training.
Specific responsibilities of the job
Administrative support with the management of live procurement activities and production of key documentation [such as managing queries, tender evaluation support, producing outcome letters, reports etc].
Operational management and maintenance of procurement related data held within LHC’s Customer Relationship System.
Management of queries related to our frameworks and other procurement or technical related queries [both from internal and external stakeholders].
Support with operational framework management activities.
Working with the Senior Procurement Officer and technical colleagues, the Team Administrator will support centrally managed tender processes.
Supporting in the development of procurement templates, processes, systems and guidance information for both internal and external consumption
Supporting in the collation and loading of supplier data into LHC’s internal systems and subsequent ongoing maintenance of the data.
Assisting in the assessment of tender submissions as appropriate to each framework arrangement, including their financial standing, qualifications, accreditations etc
Acting as the first point of call on all centrally managed framework related enquires and using knowledge to either respond or escalate questions in relation to technical, cost, and contractual enquiries concerning LHC.
Supporting in the management of live Frameworks and companies appointed to them, ensuring that appropriate due diligence and performance management is undertaken in accordance with agreed protocols and frequencies.
Supporting the Procurement team in preparing and delivering procurement training to internal and/or external audiences.
Assisting in the collation of supporting Framework data and content with a high level of accuracy to form part of framework guides and other literature
Monitoring and advising contractors of price adjustments and ensuring up to date insurances, certification, accreditation etc are held by appointed companies.
Note taking and administrative support for meetings
General Responsibilities
Competently and appropriately utilise all equipment and software comprising the office information technology and CRM systems.
Assist in the preparation and delivery of webinars and presentations to internal and external stakeholders in the LHC offices or virtually.
Maintaining records and reports either verbally or in writing as required by the Senior Procurement Officer or Head of Technical Procurement.
Liaising and collaborating with consultants appointed by LHC.
Undertaking any other duties commensurate with the general level of responsibility of the post at the discretion of the Head of Technical Procurement.
Management of the team’s central mailbox, ensuring queries are picked up and dealt with in a timely manner.
