Personal Assistant

DescriptionWe have an exciting new opportunity for a Personal Assistant to join our client based in Kent for a 12-month fixed term contract.
The Personal Assistant will be expected to provide an efficient and confidential administrative support as personal assistant to the Chief Executive and, on occasion, to the Directors and General Managers, and to undertake ad hoc project work for the Chief Executive where required.
THE SUCCESSFUL APPLICANT

High standard of education, including English and Maths.
*
Secretarial and computer-based qualifications.
*
Minimum of 4 years’ experience in an office environment.
*
Demonstratable experience of providing a proactive and efficient senior secretarial or professional PA service.
*
Working knowledge of MS Office products.
*
Experience of taking and producing accurate minutes at meetings.
*
Proven organisational skills, and the ability to work under pressure.
*
Ability to take shorthand and audio typing [desirable].
*
Proven experience of working with sensitive and confidential material.
*
Able to communicate at all levels, particularly at executive level.
*
Meeting deadlines whilst ensuring attention to detail.

JOB DESCRIPTION
*
Efficiently manage the diary of the Chief Executive, the Director of Finance and General Managers as required.
*
Organise/book travel, hotels and other functions or events as required.
*
Maintain an efficient and workable filing system.
*
Administer the budget for the office of the Chief Executive, raising Purchase Orders as necessary and in accordance with financial procedures.
*
Manage all expense claims promptly.
*
Manage all incoming mail and telephone calls.
*
Progress and monitor discreet projects and activities as requested by the Chief Executive.
*
Produce complex documents/Spreadsheets, using Word/Excel as appropriate.
*
Produce presentations using PowerPoint.
*
Assist with the preparation and production of confidential reports.
*
Assist the Company Secretary with the production of Board papers.
*
Provide a point of reference for secretarial protocols and usage.
*
Organise and co-ordinate meetings both on-site and off-site, liaising with external organisations [including catering and audio-visual contractors] in an effective and appropriate manner, disseminating papers as required.
*
Organise internal meetings with management and staff: often an urgent and immediate priority task.
*
Attend meetings, which may occasionally and with reasonable notice be outside of conventional office hours and take minutes or notes as appropriate.
