Senior Secretarial Administrator
Description✓Senior Secretarial Administrator - 6 months - Barrow-in- Furness - £ £20
✓p/h or £15.68 PAYE p/h [Inside IR35]
✓The Umbrella rate quoted above is the Gross Umbrella rate [i.e., the rate we pay to the Umbrella Company inclusive of ALL employment costs]
✓Please note, the rate paid by the Umbrella will be less, as will a Limited Deemed rate or Agency PAYE rate

✓The Role holder is expected;
✓Is expected to undertake a wide range of secretarial administrative activities to support senior management, their teams and assist in the smooth running of the department including Executive Assistant support when required.
✓Is expected to be an experienced secretarial administrator with a comprehensive understanding of the systems, processes and procedures of the department.
✓Your Main Responsibilities:
✓Undertakes a range of specific secretarial and administrative duties to provide support to Senior Managers and management teams and contribute to the smooth running of the department.
✓Support and control diary management and meeting requirements for line manager ensuring appropriate time management to allow adequate meeting preparation.
✓Communicating in an efficient and professional manner, to internal and external stakeholders.
✓Liaising effectively with stakeholders [colleagues/other internal teams/customers/suppliers] making sure a proactive response is maintained when dealing enquiries and the exchanging of information.
✓Proactively collating and analysing information from various sources in order to produce reports, schedules, presentations, summaries and letters as required for internal/external distribution.
✓Administration and maintenance of documents/data to ensure swift and accurate tractability, together with the use of all relevant departmental systems.
✓Resolving and prioritising queries in a timely and professional manner.
✓Understand the need to engage with senior management as and when appropriate in order to report, obtain authorisation, highlight and escalate issues.
✓Providing support to the Executive Assistants within their Function.
✓Having a clear understanding of relevant document management systems ensuring that all quality standards are met.
✓Having a clear understanding of Health, Safety & Environment [HS&E] requirements within the workplace and proactively facilitate any health and safety actions in support of a compliant office environment
✓Essential Skills:
✓Developed administrative skills including:
✓ability to collate data and produce professional presentation material including reports, papers and visualisation boards.
✓establishment and maintenance of information systems, including physical and electronic files.
✓transcribe dictated or written materials, take minutes at meetings and or attend and participate when required.
✓Experience of using digital communication mediums.
