The Role holder is expected;
Is expected to undertake a wide range of secretarial administrative activities to support senior management, their teams and assist in the smooth running of the department including Executive Assistant support when required.
Is expected to be an experienced secretarial administrator with a comprehensive understanding of the systems, processes and procedures of the department.
Your Main Responsibilities:
Undertakes a range of specific secretarial and administrative duties to provide support to Senior Managers and management teams and contribute to the smooth running of the department.
Support and control diary management and meeting requirements for line manager ensuring appropriate time management to allow adequate meeting preparation.
Communicating in an efficient and professional manner, to internal and external stakeholders.
Liaising effectively with stakeholders [colleagues/other internal teams/customers/suppliers] making sure a proactive response is maintained when dealing enquiries and the exchanging of information.
Proactively collating and analysing information from various sources in order to produce reports, schedules, presentations, summaries and letters as required for internal/external distribution.
Administration and maintenance of documents/data to ensure swift and accurate tractability, together with the use of all relevant departmental systems.
Resolving and prioritising queries in a timely and professional manner.
Understand the need to engage with senior management as and when appropriate in order to report, obtain authorisation, highlight and escalate issues.
Providing support to the Executive Assistants within their Function.
Having a clear understanding of relevant document management systems ensuring that all quality standards are met.
Having a clear understanding of Health, Safety & Environment [HS&E] requirements within the workplace and proactively facilitate any health and safety actions in support of a compliant office environment
Essential Skills:
Developed administrative skills including:
ability to collate data and produce professional presentation material including reports, papers and visualisation boards.
establishment and maintenance of information systems, including physical and electronic files.
transcribe dictated or written materials, take minutes at meetings and or attend and participate when required.
Experience of using digital communication mediums.
A good working knowledge of Microsoft office
