Roma Black is seeking a dedicated and detail-oriented Insurance Administrator to join our team at Fareham office
As an Insurance Administrator, you will work closely with property managers and brokers to ensure timely insurance renewals and efficient claims management
This role requires excellent organisational skills, strong communication abilities, and proficiency in data management.
The client is a Chartered Surveyor who specialise in block management and estate management
They manage in excess of 25000 units across the south of England and the midlands area
This includes prestigious blocks of apartments, private housing estates and mixed tenure developments consisting of freehold house, apartments and commercial units.
Responsibilities:

Collaborate with brokers to gather renewal information and promptly relay it to property managers for further instructions
Coordinate with property managers and brokers regarding renewals for policies not placed with Knight Square Insurance Brokers
Ensure that all insurance policies are in place for new clients and liaise with property managers to collect necessary information for renewal
Maintain a record of property managers' instructions regarding preferred insurers
Provide copies of policies to leaseholders upon request
Maintain accurate data using Excel spreadsheets, including information on policies placed for each client, declared values, and premiums paid
Manage insurance claims for property managers by collecting necessary information and forwarding it to the broker for instructions and payments
Communicate with property managers to follow up on information required by the broker for claim assessment, while documenting the progress of each claim in an Excel spreadsheet
Maintain an accurate record of all claims, including values and amounts recovered
Coordinate with the accounts department and property managers to ensure that claim payments are correctly allocated
Issue Reinstatement Costs Assessment reports to brokers and notify property managers of any resulting premium changes
Act as a liaison between property managers and H&S [Health and Safety] to ensure that lift inspections are conducted for lifts where insurance has not been placed through Knights Square Insurance Brokers
Experience and Knowledge Required:

Proficiency in Excel, including sorting and filtering data for reporting purposes
Strong organisational skills and ability to prioritise work to meet critical deadlines
Excellent written and verbal communication skills, particularly in letter and email formats
Understanding of GDPR [General Data Protection Regulation] principles
Familiarity with Qube [property management software] would be advantageous, although training can be provided
Knowledge of the Property Management Industry would be beneficial, but an overview of the responsibilities can be provided through in-house training
