Lettings Administrator

The Lettings Administrator will be responsible for assisting with the smooth operation of our property lettings process, ensuring efficient administration and exceptional customer service

Responsibilities:
- Support the lettings team in all aspects of the property lettings process, including advertising, viewings, tenant screening, and tenancy agreements.
- Respond promptly and professionally to tenant inquiries, resolving any issues or concerns in a timely manner.
- Maintain accurate records of all tenancies, including lease agreements, move-in and move-out inspections, rent payments, and maintenance requests.
- Prepare and distribute necessary documentation for new and existing tenants, including rental applications, references, and guarantor forms.
- Coordinate property inspections, liaising with tenants and landlords to schedule visits and document inspection reports.
- Assist with property marketing efforts, including the creation of property listings, online advertisements, and social media campaigns.
- Handle rental payments, ensuring timely collection and recording of rent, fees, and deposits.
- Conduct regular rent reviews and manage lease renewals and terminations.
- Collaborate with contractors and maintenance personnel to coordinate repairs and maintenance requests, ensuring timely resolution and customer satisfaction.
- Stay up-to-date with relevant laws, regulations, and industry best practices pertaining to property management and lettings.
Requirements:
- Previous experience in a similar role within the property management or lettings industry is preferred.
- Strong administrative and organisational skills, with meticulous attention to detail.
- Excellent written and verbal communication skills, with the ability to interact professionally with tenants, landlords, and contractors.
- Proficiency in using property management software and Microsoft Office Suite [Word, Excel, Outlook].
- Demonstrated ability to handle multiple tasks and prioritise effectively in a fast-paced environment.
- Knowledge of relevant legislation and regulations related to property management and lettings.
- Proactive problem-solving skills and the ability to work both independently and as part of a team.
- A commitment to providing exceptional customer service and maintaining positive tenant relationships.
- Flexibility to work occasional evenings and weekends, as required.
