Property & Workplace Team Leader

DescriptionKey areas of responsibility:
* Identify opportunities for reducing the cost of service and make recommendations for the Property & Workplace Manager.
* Manage external contractors who provide business with M&E, Cleaning & Security services
* Provide space planning, moves and project management service to ensure business needs are met in a timely fashion.
* Manage small projects from initiation to completion.
* Manage the in-house Property team, offering support and developing performance
* Provide a single point of contact regarding all operational Property & Workplace matters and react efficiently and promptly to queries raised
* Ensure that adequate Property & Workplace resources are in place by means of implementation of a management system of planning, organisation and monitoring of procedures
* Ensure that all invoices are checked, recorded and sent for payment
* Hold regular supervisory team meetings and team briefings
* Assist in the preparation and formulation of relevant Property & Workplace procedures and ensure the procedures are documented and fully implemented in line with agreed policy.
* Maintain the Property & Workplace office filing system, checking and updating procedures and other manuals
Ensure Worksite is used to share relevant information within the team.
* Monitor and record holidays, sickness and other absence in accordance with the firm's procedures.
* Deal with any performance or disciplinary issues as they arise with assistance from HR and the Regional Property & Workplace Manager.
* Undertake performance reviews of direct reports in accordance with the firm's policy.
* With agreement from the Regional Property & Workplace Manager and in conjunction with the HR department interview, recruit and train new Property & Workplace staff as required.
* Understand local Property & Workplace procedures including stationery stock control and ordering, courier booking, room booking, AV equipment etc.
* Work occasional weekends as required by the business and on occasion, respond to out of hours emergency situations.
* Gather and producde information and statistics as required.
* Undertake ad hoc projects as directed by the Regional Property & Workplace Manager.
